How to post a load that gets accepted in minutes, not hours
Carriers scan a load in about four seconds. These are the four seconds you're competing for.
- Show a real rate — hidden rates get skipped, not negotiated.
- Photos of the dock beat three paragraphs of directions.
- A named contact with a working phone number raises acceptance more than money does.
- Unrealistic delivery dates get your load ignored by the good carriers first.
Loads do not go unaccepted because the rate is low. They go unaccepted because the carrier cannot tell in four seconds whether the load will go smoothly. Every unanswered question is a risk, and risk gets priced or skipped.
Post a number
A posted rate gets more views, faster acceptance, and — counterintuitively — better carriers than 'call for rate'. Experienced operators know their cost per mile. Show them a number that clears it and they will take the load without a phone call.
If you genuinely want competitive bidding, say so explicitly and set a floor. Ambiguity reads as a negotiation you intend to win, and the carriers you want have other options.
Answer the pickup questions before they're asked
The fastest-accepted loads on any board have the same thing in common: the driver knows exactly where to go, who to ask for, and what they'll find when they arrive.
- A photo of the dock or loading area from the street approach.
- Which gate, which door number, where to stage.
- A named contact and a phone number that someone answers.
- Real receiving hours, including the lunch closure nobody mentions.
- Whether it's live load or drop, and how long it typically takes.
A single dock photo does more for acceptance rate than a $50 rate increase on most short-haul lanes.
Be honest about the timeline
A delivery date that requires an illegal run does not get you a faster delivery. It gets you the carrier who was not paying attention, which is precisely the carrier you did not want.
Post the date the freight actually needs to arrive. If the window is genuinely tight, say why and price it accordingly — most good operators will work with a real constraint and none of them will work with a fake one.
Keep the load current
Stale postings train carriers to ignore your account. If it's covered, mark it covered. If the date moved, move it. A board full of your live, accurate loads is worth more than a board full of your maybes.
